Job Description
The Senior Student Affairs Administrator provides administrative support to the Director of Student Affairs. The Senior Student Affairs Administrator works independently and exercises initiative, judgment and strong organizational skills to complete her/his work.
Key Responsibilities
- Greet internal personnel, students and external clients and responds to inquiries and identifies solutions including directing to appropriate resources as required.
- Manage the Student Affairs Director’s calendar, receiving and initiating requests for appointments, meetings, interviews, speaking engagements and special events, prioritizing appointments and proactively resolving scheduling conflicts. Liaises with attendees and/or other groups to organize and review relevant meeting material.
- Compose and compile information, prepare and produce various documents/forms, reports and correspondences independently on behalf of the Senior Director, Student Affairs.
- Liaise with faculty, staff and students to identify solutions and direction to appropriate resources based on a broad knowledge of the University’s priorities, procedures, protocols and personnel.
- Maintain accurate and up-to-date student files, databases, records and information, record results and upload documentation on service management systems. Document highly complex matters or complaints to enable seamless follow up. Perform quality checks to ensure information is accurate.
- Actively contribute to developing, reviewing and improving work processes, procedures, policies and the students’ experiences.
- Assist with the planning and coordinating of special events (information sessions, committee meetings, workshops and conferences).
- Provide administrative support for the student conduct management process that includes contacting the student, scheduling a meeting or hearing, managing student correspondence, maintaining a report of student conduct violations and referrals and managing the intake of student complaints, appeals and grievances.
- Initiate and process forms such as purchase orders, requisitions, travel forms, printing requests and travel expense reimbursements. Attend to travel arrangements for the department as requested.
- Perform other job-related duties as assigned.
Specific Duties and Responsibilities:
Students Accident Insurance
- Liaise with Registry & SFS for current Student Registration Listing
- Complete documentation and send it to the Finance Department for premium payment.
- Compile Google Survey Form to collect Students Beneficiaries Information, compile and then send to Sagicor
- In the event of death – verify student registration history, contact family members, notify, inform and ensure the relevant documents are completed and sent to Sagicor. Liaise with Sagicor Representative until matter is closed.
- In the case of an accident, inform and ensure that the relevant documents are completed and sent to Sagicor. Liaise with Sagicor Representative on the matter to closure.
Counseling
- Send awareness messages to students
- Respond & refer Counseling request to Pastor
Orientation
- Source Guest Speaker
- Send Invitation Letter
- Plan the orientation programme
Scholarship
- Oversee scholarship activities
DSA Development Seminars & Functions
- Plan seminars by forging partnerships with other organizations.
Job Development/Creation Services
- Advertise vacancies
- Responding via email/telephone conversation to companies
- Vet Resumes
- Shortlist Applicants
Oversee the Administration aspect of Live Chat
- Ensure that Departments respond to queries
The Chairman for Outreach
- Responsible for planning outreach projects
Clubs
- Oversee the operations of clubs and societies
Alumni
- Guide the formation and operation of the Alumni
Minimum Requirements:
- A Bachelors Degree in Business Administration or related field
- At least 3 years’ experience providing student administration, academic programmes or related services in a tertiary education organization
Skills and Competencies:
- Essential Proficiency in the Microsoft suite of programmes
- Experience using University Information Systems
- Experience and understanding of tertiary education academic program/course regulations and policies, or related services
- Preferred Experience and understanding of a student management system or a Customer Relationship Management (CRM) system
- Knowledge of university and government regulations that relate to tertiary education admission
